To build a professional workflow, make sure you complete all three of the following steps directly inside your document:
Deconstruct your chosen SMART objective into concrete, bite-sized actions across the three chronological phases:
Pre-Project (Preparation) Tasks: List at least 3 concrete actions your team must take to prepare for a successful launch.
Project Day (Implementation) Tasks: List at least 2 key operational tasks required to manage the live execution smoothly.
Post-Project (Follow-Up) Tasks: List at least 2 closing activities needed to wrap up the project, collect evaluations, and report back professionally.
Go back to each task you just listed and give it a ticking clock:
Assign a specific, hard Due Date or calendar deadline for every task.
Remember the Buffer Rule: Leave a 2-3 day safety cushion before major checkpoints to absorb unexpected delays.
Logistics make or break a youth initiative. For each task on your canvas:
Create a Material List: Specify the physical items needed (e.g., projector, laptops, printed materials, flipcharts, coffee break supplies).
Name One Owner: Assign exactly one clear person to be accountable for each task.
💡 Coordinator's Tip: When "everyone" is responsible for a task, nobody is responsible! Avoid writing "the whole team" as an owner—pick a specific lead.
Before closing your Canvas and heading to the final lesson quiz, run your work through this quick diagnostic check:
Is every single task small enough that one person can easily manage and complete it?
Does every task have exactly one clear owner and a realistic deadline attached?
Did you map out your physical materials and include a proper post-project phase for evaluations and reporting?
Does every listed activity directly serve your main SMART objective?
